How to get the most productive workforce!

How much money is wasted due to ineffective work practices?

As an employer, you’ll be horrified to learn that on average each week, one whole working day is lost by each employee, as they search for information that should be readily accessible. But, how do you get the most productive workforce?

Assuming the 2019 average UK salary of around £30,420 a year (according to the Office for National Statistics and obviously varying based on jobs and locations) that’s £117 wasted each week by every employee.

Multiply £117 by the number of employees you have – let’s say, 10. That’s £60,840 a year… a saving that could be slashed with the implementation of a modern-day intranet.

Why all the wasted time?

For much of the time, your staff will need information quickly to do their work efficiently. It might be a HR document, perhaps a finance spreadsheet, a chat forum, or a vital document.

When information is spread out across several apps, they can become isolated and disconnected, often leading to data that is irrelevant, out-of-date or has had several crucial changes.

An out-of-the-box intranet system would allow you to consolidate everything under one roof, so no more searching around on multiple platforms to find one piece of information. Here we share examples of wasted time, money, and productivity and how an intranet can help in those circumstances:

Find important information fast

No one wants to find themselves in that frustrating scenario – due to deliver a major pitch and realise they need a certain pie chart. But who created it? And is it on someone’s desktop? On a hard drive? Frantic searches by said staff member may prove unfruitful leading to a disorganised disaster.

A centralised intranet system that can be safely accessed by all staff members wherever they are working. There’s simply no need to use several apps when all documents can be stored in one place.

Avoid duplicity

BAE Systems, the international defence, aerospace, and security company, shared an example whereby they had engineers working across different regions, on a problem with wing construction. A great example of a business employing thousands of employees but spending too much time duplicating information that already existed within the enterprise.

Have one version of a document to save time, energy and eliminate confusion. With Attollo, documents can be edited in real-time and saved as they are worked on. And most importantly, stored in one central location.

Ban over-communication

A modern-day intranet such as Attollo, allows your employees to make contact instantaneously and receive feedback too.

With Attollo integrating perfectly with your Office 365 platform, this means that employees can push content from Attollo quickly to colleagues. There’s no need to wait hours when a colleague isn’t picking up the desk phone or answering an email.

Just think how many hours you spend sifting through round-robin emails with all the irrelevant replies… Trying to sift through the valuable information from the junk is like finding a needle in a haystack. Microsoft Teams allows for instant video chat and messages that can be used on the move.

The McKinsey Global Institute (MGI) found that using social tools to enhance communications, knowledge sharing, and collaboration within companies by using social technologies such as an intranet system, allows for raised productivity of workers including managers of between 20 and 25 per cent.

Retain employees

So just how do you keep your staff happy and with you for longer? The answer is community, communication, and collaboration. An intranet acts as a great platform for colleagues to connect, stay informed and discuss problems.

According to a recent Nintex report, turnover across industries has steadily increased over the last decade. But retaining staff depends not only on natural occurrences but broken or outdated processes. This may hinder staff from being able to do their jobs efficiently.

The 2018 State of Employee Communication and Engagement Report from Dynamic Signal discovered that 33% of workers wanted to quit their jobs. They were so frustrated with poor communication that left them ill-informed, confused about their jobs and incredibly anxious.

Good access to information whether it’s company news, opportunities for promotion or a blog of best practice, means improved decision-making, time saved and minimised frustration, in turn resulting in staff being happier to do their jobs and so more productive – and less likely to look for a new role.
