Measuring Internal Communications Effectiveness

How do you currently communicate with your employees? Do you know what works and gets responses? What do your employees know about technology? Are they happy? Do they need more support?

If you don’t know the answers to these questions, it’s time you put an internal communications strategy into place. This includes knowing what channels you use and who uses them. The effectiveness of those channels in engaging your workforce is key to measuring success.

Your ultimate goal should be to find new approaches that encourage people to engage and act, through brand, culture, content or experience.

You may have a list of KPIs as long as your arm but by applying a bit of modern research and insights you will better understand your users – and when it comes to internal communications, this is what is crucial. The more you know about your audience, the more effective your business will be.

How effective are your existing channels?

The most important question is whether what you have in place now, is reaching the right people. With so many people working away from the office, it’s crucial to ensure your staff are all singing from the same hymn sheet, and this is where a modern-day intranet comes in handy.

Everyone should have the same ability to react to internal communications wherever they are in the world. With Attollo, this is possible.

Two-way communication is essential if you want to measure its success. Direct messaging isn’t effective from managers to employees. There needs to be the opportunity to come the other way.

Attollo provides many examples of this including a blog, news centre, quick polls, Microsoft Teams for instant messaging and more. A one-stop platform such as Attollo means there is no need for several different apps.

What should we measure?

Measurables could include things such as productivity rates or staff retention but of course, this is measured on the size of your business. You may need to look at operational channels for daily work to include things like email or an instant messenger. Internal communications are used to deliver your strategy or critical information – this could include your intranet.

Common internal communication metrics for determining the effectiveness of your channels include engagement rates, reach, bounce rates and more. While they have no numeric value, quick polls and surveys can show you how effective company messaging has been.

As soon as you have metrics in place you can assess how effective they are, and this will lead to you improving engagement from the managers through to staff at every level.

Ways you can use Attollo to measure effectiveness

Here are just a few of the ways you could use Attollo to measure the effectiveness of your internal communications:

  • Sight Analytics via SharePoint: Find out who is spending time – and where – on your site, so you can ensure these areas are well-populated with information that said users need when they need it. Find out if certain demographics are using the intranet more or less than others, as well when they use it if there are peak times for usage and which devices are being used to access it.
  • Video views: By creating a feedback quick poll you can see how many times a video has been watched. This could be a training module or how-to-do a common IT complaint. The poll could be moved to the top of your homepage or embedded within the content to encourage more interaction.
  • Keyword spotlight: This feature would allow you to track down common keywords. You could quickly find how many mentions of a certain word there may have been within a forum following a training course. This could give valuable insight into how effective a course was.
  • News center: Articles here or within your blogs could allow likes or comments so you can see which have been most popular to read. You could also choose to make the user acknowledge when they have read an article.
  • Sharing statistics: Everyone loves a quick poll and giving users the opportunity to comment on a poll may improve interactivity.

Want a look around?

Tracking and analysing the performance of your internal communications can give you valuable insights – and it’s so easy to do. Start with a simple survey on your Attollo homepage and let that guide you to other measurables.

Very soon you’ll be on your way to creating content that your employees will come back to read on a daily basis – which is just what you want.
